Plan to audit the maintenance organisation or any part of the organisation.
Form a team or teams to audit all or any section of organisation. Note, every level of an organisation have different perceptions of what is going on, therefore the team should comprise of a cross section of the work force i.e. a team could consist of manager, senior foreman, leading hand, craftsman.
The ideal situation is for the mixed team to discuss each question to derive the true situation.
As an example asking the question “is a work order issued for all work to be performed before the job is started”? this may result with the management saying ”yes of course” and the craftsman saying “seldom”.
From the Reports Menu select the Audit Blank Report.
The questionnaire can then be printed out and each team member should receive a copy.
Each question should then be considered and answered either as YES (have all), SOME (have some but not all), NO (don’t have), or N/A (not applicable).
When all sections have been completed reports can be run to reveal the “snapshot” of current maintenance practices.
From the Reports Menu run the Audit Details by Score Report and by selecting NO for the score range, a listing of all questions with a NO answer can be printed out.
An improvement plan can then be agreed and formulated using these areas as a starting point.
